How to Add a Meeting

A meeting can be added using this form, but you may want to read the information below to understand how OA Foot Steps Intergroup manages its meeting schedule.
How do I find an open space on the OA Foot Steps calendar?
- We use TeamUp as a calendaring tool to hold our meeting schedule. Two platforms are reserved for meetings happening once, twice or three times per week – the DARK and LIGHT BLUE platforms for meetings occurring on the odd hour and DARK and LIGHT PURPLE for meetings occurring on the even hour. More on meeting timing below. Meetings happening four, five, six or seven times per week are considered Daily: on GOLD (even hours) or TURQUOISE (odd hours) platform.
- To find space on our PURPLE and BLUE weekly platforms, look at our schedule here filtered to show available time slots for our weekly meetings.. Make note of the slot number (looks like #1A-T-0800) because this helps us identify the exact time/day in which you are interested..
- If no space is available at your time, it is possible for you to be a part of the OA Foot Steps Intergroup and continue to use your own platform – colored LIGHT BROWN on our schedule. The Add Meeting form will allow for entry of those details.
What times can meetings occur?
When a group schedules a meeting on Foot Steps, a two hour block of time is made available to them. They may make use of this block of time however they wish, including varied start times and durations. The 30 minutes before the meeting is available for meeting set up. This prep time cannot be used as meeting time; the actual meeting can begin no sooner than the 30 minutes after the close of the previous meeting. This is because members often log into a meeting way before the meeting actually starts. We do not want incoming members to disrupt the meeting which has not yet finished. A typical arrangement for a 5:00 pm might be
4:30 – prep
5:00 – 6:00 meeting
6:00 – 6:30 parking lot / car park / general discussion
6:30 – 7:00 prep time for the 7:00 meeting
But there are other options available. This request makes available to you the block from 4:30pm to 6:30pm with these caveats
— the meeting can last no more than 90 minutes (per Policies and Procedures).
— the meeting cannot begin any sooner than 5:00.
